Privacy Policy

Rezflows ("we", "us") helps short-term rental property owners and managers (each a "Host") collect guest registration information. This Privacy Policy explains what information we collect from guests through the registration form, how it is used, and your choices.

When you submit a guest registration, you do so on behalf of the Host of the property you are staying at. The Host is the controller of your information and Rezflows acts as the processor on their behalf.

When you complete a guest registration, we collect:

• Primary guest's name, mailing address, phone number, and email
• Check-in and check-out dates
• Names and ages (under 21 indicator) of all guests staying at the property
• Vehicle information (make/model, year, plate, state, color) for each vehicle
• Pet information when applicable
• An image or PDF of the primary guest's driver's license
• Your typed signature and the date of submission
• Limited technical metadata (IP address, timestamp) used to prevent abuse

• To complete and document your registration with the Host and the property's HOA, where applicable
• To verify the identity of the primary guest at check-in
• To generate a registration PDF for the Host's records
• To contact you about your reservation if needed
• To detect and prevent fraudulent or abusive submissions

The driver's license image is uploaded over an encrypted connection and stored in a private storage bucket. It is only accessible to approved staff of the Host. Rezflows does not sell, share, or use this image for any purpose other than supporting the Host's registration workflow.

We share your information with the Host of the property and, where required by the property's HOA or local short-term rental rules, with that HOA. We do not sell your information.

We use trusted infrastructure providers (cloud hosting, database, storage, email delivery) that process information on our behalf under appropriate confidentiality and security obligations.

Guest registration records and the associated driver's license image are retained for as long as the Host needs them to operate the property and meet legal or HOA recordkeeping requirements, after which they are deleted or archived per the Host's policies.

We use industry-standard measures to protect your information, including TLS in transit, encryption at rest, role-based access controls, and row-level security on our database. No system is perfectly secure; please contact us promptly if you suspect a problem with your data.

You may request access to, correction of, or deletion of your registration data by contacting the Host directly, or by emailing us at the address below and we will route the request to the applicable Host.

Children may be listed as guests on a registration completed by an adult primary guest. We do not knowingly collect personal information directly from children.

We may update this policy from time to time. The "Last updated" date above reflects the most recent change. Material changes will be reflected on the registration page.
