Vacation Rental Guest Registration Guide

How to run vacation rental guest registration in a gated community: what to collect, why it matters, and how to keep arrivals smooth for guests and gate staff.

Why guest registration matters

In a gated community, the gate is the first thing a guest meets and the first thing that can go wrong. Formal guest registration gives the HOA a verified record of who is on the property, gives you proof of who booked and who actually stayed, and gives the guest a pass that works on arrival instead of a twenty-minute detour back to the welcome center.

Most short-term rental ordinances and HOA rules require the operator to keep an occupancy record for each stay. A registration form is the cheapest way to satisfy that requirement without chasing guests over text message the night before check-in.

What to collect

  • Lead guest full name, email, and phone number
  • Every occupant's name and age (age matters for occupancy limits and pool or amenity rules)
  • Arrival and departure dates, matching the reservation
  • Vehicle make, model, and plate for each car that needs a gate pass
  • Photo ID for the lead guest, where the community requires it
  • Acknowledgement of the house rules and quiet hours

Collect nothing you do not need. Every extra field lowers completion rates and increases what you have to store and protect.

A registration process that actually gets completed

  1. Send one link right after booking, not the day before arrival.
  2. Use a mobile-first form — most guests fill it in on a phone.
  3. Pre-fill what you already know from the reservation.
  4. Auto-generate the community's registration document from the submitted answers.
  5. Send the gate pass and check-in instructions in the same confirmation.
  6. Keep a searchable archive so you can answer an HOA question months later.

Common pitfalls

  • Re-typing guest answers into the HOA's PDF by hand — it is slow and it introduces errors.
  • Collecting IDs into a shared inbox or public folder rather than restricted storage.
  • Using one generic form for properties with different community rules.
  • No reminder, so half of the forms arrive after the guest has already been turned away at the gate.

How Rezflows handles it

Rezflows gives each property a permanent registration link, collects occupants and vehicles in a mobile-friendly form, and generates the community's registration document automatically. A lighter version of the form is available for properties that do not need vehicle details. Submissions stay searchable alongside the reservation, so gate questions take seconds rather than an inbox search.
